01 / THE OPERATOR & THIS SERVICE
ODD//DEPT is a playful online community for strange everyday observations, operated by Syndicate Hub LLC. Its business website is https://syndicate-hub.com. For privacy questions and rights requests, email syndicatehubllc@gmail.com or use the in-app support form. ODD//DEPT is not a government agency. This notice describes the current beta application's handling of information. The service is hosted on Floot.
02 / THE INFORMATION YOU PROVIDE
If you create an account, we store your email address, display name, and a password hash (not your plain-text password). We also store the timestamps of your adult-age self-attestation and acceptance of our terms, not your exact date of birth. The app stores case titles, descriptions, categories, optional mission identifiers (to show Field Passport progress), optional public aliases, timestamps, votes, private saved-case bookmarks, moderation reports, and support inquiries you submit. The public case system accepts text only, not photos or videos.
Support inquiries include the contact email you enter, subject, and message. They are available to administrators and are not public. Reports of inappropriate content identify the report and reporter to administrators, not other members.
03 / WHAT BECOMES PUBLIC
Public case files show the text, category, alias, classification, filing time, and confirmation count. Your login email is not shown alongside your case. Because this is a public community, assume anything you publish could be copied or shared by other people, even if you later delete it.
Do not enter real names, private addresses, phone numbers, identifying details about bystanders, emergencies, or confidential material into case files. This first version does not request GPS access or store precise location coordinates in its own case records.
04 / TECHNICAL OPERATION & ANALYTICS
Necessary sign-in sessions use cookies. Hosting and security services may process technical request information such as IP addresses, device/browser information, and timestamps to operate and protect the app. The Floot visitor analytics system can collect page paths, referring page, browser type and language, and country inferred from timezone (without IP in its analytics payload). Before your analytics choice, the service runs its tracker without persisting an analytics session ID on your device. If you decline, the visitor analytics feature is disabled for your browser; if you accept, a short-lived session identifier is saved to distinguish visits. The app remembers your choice locally. We have not added a separate advertising SDK or behavioral advertising integration in this MVP. Hosting provider practices may be governed by their own notices.
You can review and change your choice in the Cookies & Analytics notice.
05 / WHY WE USE THE DATA
To run your account, display and share your submissions, maintain reactions and case classifications, address support requests, handle abuse reports, secure the service, comply with applicable obligations, and improve reliability.
06 / SHARING
Case content you choose to post is visible publicly. Hosting and infrastructure providers process data needed to operate the service; administrators may view moderation and support records. We do not provide a feature for selling members' personal information to advertisers.
07 / RETENTION, ACCESS & DELETION
Sign in and visit Your File Cabinet to download an export of your account data, view or delete your own reports and saved cases, or delete your account. Exports include personal account information and member activity; password hashes and session credentials are excluded. Account deletion removes associated case reports, bookmarks, votes, and abuse reports from the application's database. Separately stored support requests can retain the contact address and conversation after an account is removed. The production maintenance schedule targets closed support requests after 180 days and open requests after two years; expired reset-code records after 30 days; and hashed registration-attempt logs after two days. These schedules run on an operational, paid published service; delays or legally required retention may apply. Use Department Support for additional privacy requests. Public screenshots, search caches, and content copied by others may persist beyond deletion.
08 / AGE LIMIT AND SAFETY
This beta is intended for adults aged 18 or older, and account registration requires an affirmative age declaration. We do not currently independently verify a member's age. We do not knowingly invite minors to register. If you believe a minor has an account or supplied personal information, use the private support form. Do not enter sensitive personal information into public reports.
09 / QUESTIONS OR RIGHTS REQUESTS
Contact Syndicate Hub LLC at syndicatehubllc@gmail.com, or use the Department Support form and select Privacy Request for access, correction, objection, or deletion concerns. Rights depend on applicable law and may require identity verification. We may update this notice when product functionality changes; the displayed update date will change with it.
